Job Description

Supervision of Subordinates

§ Organise and supervise the activities and work of subordinates to ensure that all work within a specific area of the facilities section is carried out in an efficient manner which is consistent with operating procedures and policy 

§ Compliance with policy and procedures

§ Efficiency of activities performed


Budgets and Plans

§ Contribute to the preparation of the  facilities section budget and monitor financial performance versus the budget so that the business is aware of anticipated costs/revenues and areas of unsatisfactory performance are identified

§ Responsible for faculties’ budget which is around 2 million EGP. 

§ Budgets and plans are prepared timely and accurately in line with the annual budget parameters and timescales

§ Financial variance versus budget


Policies, Systems, Processes & Procedures

§ Recommend improvements to policy and direct the implementation of instructions covering all areas of facilities activity so that all relevant procedural/legislative requirements are fulfilled while delivering a quality, cost-effective service.

§ Compliance with procedural and legislative requirements

§ Effective communication of policies, procedures and instructions


Day- to-day operations

§ Supervises the day-to-day operations of facilities to ensure that work processes are implemented as designed and comply with established policies, processes and procedures. 

§ Day-to-day operations are consistent with established policies, processes and procedures


Facilities Planning & budgeting

§ Supervises the day-to-day operations of facilities to ensure that work processes are implemented as designed and comply with established policies, processes and procedures.

§ Prepare and supervise the annual facilities budget related to stationary, buses, furniture, cleanliness tools, buffet requirements ,etc.

§ Develop and execute system for regular cleaning, repair and maintenance of facilities.

§ Monitor and manage expenses within the allocated budgets.

§ Plan best allocation and utilize space and resources for new buildings, or re-organize current premises.

§ Manage refurbishment, renovations and office moves.

§ Supervise the proper implementation of company events or social or entertainment activities. Sports activities, summer vacations and one day vacation trip for all employee. 

§ Budgets and plans are prepared timely and accurately in line with the annual budget parameters & timescales

§ Getting the Best prices and offers

§ Good cleaning, maintenance system is existent.

§ Efficiency utilization for available spaces and resources

§ Refurbishments and renovations are made effectively & on time.

§ All events are handled properly.

 

Facilities Operation

§ Direct, organize and control essential central services such as reception, maintenance, mail, archiving, cleaning, catering, waste disposal, cafeteria and recycling.

§ Manage the mobile system operation, delivering the sim card to new users and monitor the usage, invoices according the internal policy.

§ Manage the business travel cycle and one day mission “requests, approvals and per deem” for Pasta Sector to be matched with the company policy.

§ Daily receive and sell the scrap and waste materials which came from the three factories “production & packing” and the sales branches.

§ Manage Factory visitors “Hotel reservation, Transportation, food, entertainment and Medical care “.

§ Manage all the employees company accommodation

§ Manage the distribution of the free samples for all employees on a monthly bases and any addition for free samples on the feast occasion

§ Coordinate with Savola admins in other business units in Egypt to send them there employees pasta free samples on a monthly bases

 

§ The Quality standard of services is existent

 

§ Mobile system operation is working effectively.

 

§ Company policy is applied in business travel and one day mission.

§ All scrap and waste materials are paid.

 

§ Company accommodation is effectively managed.

 

§ Free samples are distributed to all employees on time.


Standards & Regulations

§ Ensure that all activities are monitored and regulatory compliance audits and inspections are conducted for an effective implementation of regulatory standards

 

§ Compliance with regulations and effective implementation of standards.

Projects Supervise the implementation of projects to ensure that the project cycle is completed, meeting agreed project parameters (cost budget, timelines, scope and quality), standards and objectives

 

§ The project cycle is completed in line with plans and agreed project parameters and standards.


Continuous Improvement

§ Stimulate subordinates and contribute to the identification of opportunities for continuous improvement of section systems, processes and practices taking into account ‘international best practice’, improvement of business processes, cost reduction and productivity improvement

 

§ Number and quality of improvements are line with corporate expectations and implemented


Reporting

§ Supervise the preparation of timely and accurate reports of facilities to meet Savola and department requirements, policies and standards

§ Maintain accurate records of equipment functioning status and other systems in building.

 

§ All reports are prepared timely and accurately and meet company policies and requirements


Health, Safety, & Environment

§ Monitor the adherence to all relevant safety and environmental management procedures and controls to guarantee employee safety, legislative compliance, delivery of high quality products/service and a responsible environmental attitude

 

§ Frequency of non-compliance with standards, local legislation and company policies on HSE

§ Frequency of safety incidents

QUALIFICATIONS, EXPERIENCE, & SKILLS

 

Academic and professional qualifications:

§ Bachelor’s degree in business or equivalent. 


    Experience:

    • 5-7 years of relevant experience in the same field in an industrial organization.
